This policy sets out the cancellation, change and refund terms for all travel services offered by Rota Korea. If a different condition is stated in the quote or confirmation document, that condition applies.

1. Cancellation requests

  • Cancellation requests must be made in writing (email: info@rotakoretravel.com or WhatsApp: +82 10 5832 0372). The cancellation date is the date on which the request reaches Rota Korea, and periods are counted back from the first service day of the trip.
  • This policy also applies to cancellations for reasons on the Guest’s side, such as illness, a visa or K-ETA refusal, or a missed flight. We recommend taking out travel insurance with cancellation cover for these risks.

2. Deposit

The deposit taken to confirm the booking covers the planning, booking and reservation work. If the Guest cancels after the booking is confirmed, the deposit is not refunded. For cancellations by Rota Korea, section 7 applies.

3. Personalized (FIT), package and group tours

Time remaining before the start of the trip Cancellation charge
More than 30 days Deposit
30 – 15 days 30% of the total tour price
14 – 7 days 50% of the total tour price
Less than 7 days or no-show The full tour price

The cancellation charge is the higher of the amount in the table and the non-refundable amounts already paid to suppliers (flight tickets, non-refundable hotels, show and event tickets, etc.), and is in no case less than the deposit. The balance remaining after the cancellation charge is deducted from the amount paid is refunded.

4. Day tours

Time remaining before the start of the tour Cancellation charge
More than 72 hours No cancellation charge; only non-refundable ticket and booking costs are deducted
72 – 24 hours 50% of the tour price
Less than 24 hours or no-show The full tour price

5. Flight tickets and non-refundable bookings

For programs that include flight tickets, cancellations and changes after the ticket has been issued are subject to the airline’s rules; the ticket price is usually non-refundable. Concert and show tickets and non-refundable hotel, train and activity bookings are also subject to the rules of the supplier concerned.

6. Date changes and transfer of a booking

  • Changes to dates, number of travelers or the program are subject to availability. Any price difference and supplier change fees resulting from the change are borne by the Guest. Date change requests made less than 30 days before the start of the trip may be treated as cancellations.
  • A Guest who cannot join the tour may nominate another person in their place. The transfer is made to the extent permitted by airline and supplier rules; name change costs are borne by the Guest.

7. Cancellation by Rota Korea

If a tour is canceled for a reason attributable to Rota Korea or because the stated minimum number of participants is not reached, the full amount paid is refunded or, if the Guest prefers, the payment is transferred to another tour. No further compensation is paid.

8. Force majeure

In circumstances beyond the parties’ control, such as natural disasters, epidemics, war, terrorism, strikes, decisions of public authorities and extreme weather conditions, Rota Korea will first offer a new date, an equivalent program or a tour credit valid for 12 months. If the Guest does not accept these, the amount paid for the services that cannot be used is refunded, less any non-refundable amounts already paid to suppliers.

9. Rota K-Beauty

The preliminary assessment is free of charge. Clinic appointments, procedure fees and their cancellation and refund terms are subject to the rules of the clinic concerned. The relevant sections of this policy apply to the accommodation, transfer and tour services provided by Rota Korea.

10. Unused services

No refund is given for services the Guest chooses not to use after the trip has started (tours, meals, transfers, accommodation, etc.).

11. How refunds are made

Approved refunds are made to the original payment method and in the original currency within 14 business days at the latest. Rota Korea is not responsible for banks’ processing times, exchange rate differences or charges.
